Sentinel Field Notes is a hands-free field-notes assistant for site, inventory or condition
work: describing a scene, reading signage/labels aloud, or drafting a tidy timestamped
field note.
What we collect
No account or sign-in is required to use this site.
Each time you use Describe, Read or Note, the photo and/or text for that request is
sent to our AI provider to generate the response shown to you. Nothing from these
requests is stored on our servers — there is no database behind them.
If you join the waitlist, we collect the business name, your name, email and any
optional interest/notes you type, and store that entry in our database (Supabase) so we
can follow up about early access. The form includes a hidden spam-trap field; our
server can add an entry to the waitlist but the database policy does not allow it to
read the list back out.
If you reserve a founding-pilot setup slot, Stripe collects and processes your
payment details. We receive the transaction record and the contact details needed to
deliver the setup service, but we do not receive or store your full card number.
Cloudflare, our hosting provider, processes standard connection logs to keep the
site secure.
Hard ethics limit — no surveillance or identification
This tool is built for situational field notes only. It is designed to refuse facial
recognition, biometric identification, tracking of named individuals, or any security/
threat “determination” — people are described only in neutral, non-identifying terms
(e.g. “a person”). This is not a surveillance or security product.
Why we process it, and on what basis
Legitimate interests — running the assistant you actively triggered, and
keeping the site secure.
Consent — when you submit the waitlist form, so we can contact you about
early access as you asked.
Contract — to take payment and deliver a founding-pilot setup slot when
you choose to purchase one.
Who we share data with
Cloudflare — our hosting/edge network, which processes standard connection logs (IP address, browser type, request timestamps) to serve the site securely.
Anthropic — the AI provider that processes the photo/text you submit for that specific request, to generate the response you asked for.
Supabase — the database that stores the waitlist entry you submit, so we can follow up.
Stripe — our payment processor for the optional founding-pilot setup purchase.
How long we keep it
Describe/Read/Note requests are not stored after they're answered. Waitlist entries are
kept until early access has been offered and followed up, or until you ask us to delete
your entry. Transaction records are kept for the period required for accounting, tax,
fraud prevention and legal obligations. Cloudflare keeps connection logs per its own
standard operational retention.
Your rights
Under UK GDPR you have the right to: access the personal data we hold about you;
have inaccurate data corrected; have your data erased in certain circumstances;
restrict or object to our processing; receive data you gave us in a portable
format; and withdraw consent at any time where we rely on it. To use any of
